All in one product
The core of a staffing business, in one place
Onboarding, compliance, time, clients and jobs usually mean a separate tool for each. In Staffily they share one record per applicant and per client, and one price.
Onboarding on the phone
Applicants register, fill in and e-sign W-4, I-9, state and agency forms, and upload documents, in English or Spanish.
Review and approval
Branch queues, the employer’s part of the I-9, countersigning, and one record per applicant with every document and note.
I-9, with E-Verify tracking
Federal I-9 document rules enforced, E-Verify enrollment and deadlines tracked, and background checks through your own account.
Time clock
Job-site tablets and phone punching, federal and California overtime rules, weekly locking, and client approval by link and code.
Clients and quotes
Client records with activities and follow-ups, and quotes on your own paperwork that the client e-signs.
Jobs and job alerts
Public job postings in English and Spanish, searchable by ZIP code, with alerts applicants opt in to by category.
Search in plain English
“Forklift drivers in Phoenix who speak Spanish.” Search covers every field applicants entered and the text of their documents.
Exports and connections
Export templates in CSV, Excel or JSON, shaped to another system’s import, and a connector for Staffing Complete.
Email from your own account
Each company can send through its own email account, and every email staff send is logged on the record it belongs to.
The problem
Paper and patchwork slow every branch down
Staffing companies onboard a lot of people, at a lot of branches, for a lot of client companies. Paper, and a different tool for every job, does not scale with that.
Paper packets
Clipboards in the lobby, forms filled in by hand, pages that go missing between the front desk and the file cabinet.
Chasing signatures
An applicant leaves with one form unsigned. Someone has to call, wait, and call again before the worker can start.
Typing it all twice
Names and work history on paper, hours on a separate timesheet, all of it keyed into another system by someone at the branch.
Compliance risk
A blank I-9 field, a missed meal break or a missing record is hard to spot on paper, and it tends to surface at the worst time.
How onboarding works
From link to approved, in four steps
- 1
The applicant registers
From your company’s own link, a branch link, a job posting, or a kiosk in the branch lobby. On a phone, tablet or computer, in English or Spanish.
- 2
They complete and e-sign on their phone
A clear to-do list shows every form still owed. W-4, I-9, state and agency forms are filled in on screen and signed there.
- 3
Your branch reviews and approves
Staff complete the employer’s part of the I-9, countersign, and approve — or send the packet back with a note.
- 4
The records are kept
Every signature records who signed, when, from what IP address and on what device. Records are kept for as long as employment law requires.
Time clock
From the punch to an approved week
Once a worker is hired, the same record carries them onto the job: assigned to a position, issued a badge, and punching in at the client’s site.
- Punch at the job site or on a phone. A shared tablet that keeps working offline, or the worker’s own phone, with location read once at the punch.
- The hours are worked out for you. Federal weekly overtime everywhere; California daily overtime, the seventh day, and meal and rest premiums.
- Corrections keep the original. Every correction carries a reason and its author. A locked week is never recalculated.
- The client approves the week. By an emailed link and code, with reminders before your cut-off. Billing waits for approval; pay does not.
- Export for payroll and billing. CSV, Excel, JSON, or a starter template for Staffing Complete timesheets.
Security
Secure staffing onboarding, with encrypted applicant data
Onboarding collects Social Security numbers and identity documents. Here is what protects them, from the database up.
SSNs even database admins can’t read
SSNs, dates of birth and I-9 document numbers are encrypted with SQL Server Always Encrypted, so anyone with database access sees only ciphertext.
Access scoped by branch
Staff see only the branches and functions their role allows, and each agency’s data is kept apart by the application and, independently, the database.
Every view of personal data logged
Who viewed which applicant’s personal information goes into an append-only ledger that nobody can alter, database administrators included.
Identity documents scanned
Every upload, camera photos included, is quarantined and scanned for malware. Only clean files are released.
Built for staffing
Set up the way your business is actually run
You place workers with more than one client company, across more than one branch. Staffily is organized around that, not around a single office.
- Each company is its own employer, with its own employer details, state tax IDs, branding, forms and email sending.
- Staff see the branches they cover, and nothing else. Every role is given at the agency, a company or a single branch.
- Recruiters never see rates. No pay rate, bill rate or margin on their screens.
- Applicants move between branches without applying again.
- E-Verify is tracked per company, with a warning where a branch requires it but its company cannot file yet.
